Which roles a small business org chart shows, and why
In a small company the chart answers one practical question: who do I go to? Each area has one lead, so staff, customers and new hires know whom to ask.
- Owner & Managing Director
- Makes the final calls on money, pricing and hiring. In many small businesses the owner also covers a few hands-on tasks; the chart still shows the leadership role first.
- Operations Manager and technicians
- Operations delivers the work customers pay for. The operations manager plans jobs and is responsible for quality and safety. An apprentice reports to the same lead who trains them.
- Sales Manager and sales representative
- Sales wins and looks after customers. Separating it from operations makes it clear who quotes a price and who carries out the job.
- Office Manager and bookkeeper
- The office handles scheduling, invoices, payroll preparation and suppliers. If you use an external accountant, add them as a separate box with a department such as "External" so it is clear they are not staff.
Variations: from a family business to a growing company
Five to ten people
Often the owner leads sales personally and there is no separate office manager. Delete the boxes you do not need and give the owner a combined title such as "Owner, Sales".
Thirty to fifty people
Add a second level under operations (team leads per site or shift), a customer service team under sales, and possibly a general manager between the owner and the area leads.
Tips for a small business org chart
Show the assistant beside the owner
If the owner has a personal assistant, mark the person as an assistant. They then appear beside the owner rather than as a separate team.
Count part-time staff correctly
Enter working time as FTE, such as 50% for a half-day post. Each team shows its FTE total, which helps when you plan cover or a new hire.
Mark the post you are filling
An open position on the chart makes it obvious to the team who the new person will report to before they start.
Print one copy for the notice board
Export a PDF and pin it up. Choose the list layout if the chart gets too wide for one page.

Under the person who trains them, usually the lead of the area they work in. You can add a custom field for the year of training.

How do I show the owner's spouse who helps part-time?
Add them like any other person and set the working time, for example 20%. Use the title to describe what they actually do.
