Which roles a hotel org chart shows, and why

Guests meet the front desk, but a hotel only works when housekeeping, kitchen and maintenance hand over cleanly. The chart shows each department and its head, so staff know who decides on a room, a complaint or a broken boiler.

General manager and executive assistant
The GM is responsible for guest satisfaction, revenue and the owner relationship. The executive assistant handles the GM's office, reports and correspondence as a staff position.
Front office
The front office manager leads reception, reservations and the night shift. The night auditor closes the day's accounts and covers the desk overnight.
Housekeeping
The executive housekeeper plans room assignments, laundry and supplies. Room attendants are often part-time; the second one here works 0.75 FTE.
Food and beverage
The F&B manager runs the restaurant, bar, breakfast and events. The executive chef leads the kitchen and the restaurant supervisor leads the service team.
Maintenance
The chief engineer keeps rooms, heating and safety systems working. An open technician role shows the team is recruiting.

Variations: small inn or full-service hotel

Small inn or B&B

Owner or manager at the top, one person each for reception and housekeeping, and breakfast run by the front desk. Merge departments rather than leaving empty boxes.

Full-service or branded hotel

Add a director of sales and marketing, a revenue manager, HR and finance, and split F&B into kitchen, restaurant, bar and banquets. For a resort, add spa and recreation as their own departments.

Tips for a hotel org chart

Colour-code departments

Each department gets its own colour, so the chart in the staff canteen reads at a glance even with many names.

Show seasonal and part-time staff

Enter FTE for part-time roles and mark seasonal posts as open positions, so the chart doubles as your staffing plan for the high season.

Export one department for onboarding

Give new housekeeping staff just their department chart: export one team on its own as a PDF or PNG.

Questions about this template

Is revenue management part of front office or sales?

In small hotels the front office manager often handles rates. Larger properties have a revenue manager reporting to the GM or the director of sales; add the box where it sits in your hotel.

How do I show a management company or owner?

Add the owner or management company as a box above the GM in a neutral colour. The GM is then the only direct report, which matches most management contracts.

Can I keep one chart for several properties?

Up to 25 people per chart are free. For a group, build one chart per hotel with the same structure, or a cluster chart that shows only the GMs and shared services.
